Privacy Notice

This notice explains, in plain language, how personal information may be handled through the PFA website and membership process.

Current form status: The membership application stores submitted information and documents as private records for authorized PFA review and sends a submission alert to the designated membership mailbox.

1. Scope

This notice applies to personal information processed through PFA’s public website, approved online forms, event or membership inquiries, and related digital communications. Separate notices may apply to employment, vendor, event-registration, or member-only systems.

2. Information that may be collected

Depending on the interaction, information may include an authorized representative’s name, position, business contact details, organization details, SEC registration or license information, application declarations, and documents submitted for membership evaluation. Basic technical information such as browser type, device type, pages visited, and security logs may also be processed when necessary to operate and protect the site.

3. Why information is processed

Information may be processed to respond to inquiries, assess membership eligibility, verify submissions, support Membership Committee and Board review, administer approved membership, organize events, maintain records, comply with applicable obligations, and protect PFA’s website, systems, users, and legal interests.

PFA shall process only information that is relevant and proportionate to the stated purpose and rely on an appropriate lawful basis under applicable Philippine data-protection rules.

4. Who may receive information

Access shall be limited to authorized PFA personnel, officers, committee or Board members, and approved service providers who need the information for a stated purpose. Membership applications are stored as private records. Submission alerts and, when enabled by an administrator, copies of uploaded files are sent to PFA's designated application mailbox. Information may also be disclosed when required by law, regulation, lawful process, or to protect rights and security.

5. Retention and disposal

Information shall be retained only for as long as necessary for the stated purpose, applicable legal or regulatory obligations, dispute handling, and approved records-management requirements. PFA shall securely delete, anonymize, or dispose of information when retention is no longer justified.

6. Security

PFA shall maintain reasonable and appropriate organizational, physical, and technical safeguards based on the nature and risk of the information processed. No Internet transmission or storage system can be guaranteed completely secure. See Security & Data Protection for practical guidance.

7. Your privacy rights

Subject to applicable law and valid limitations, data subjects may have rights to be informed, access personal information, object to or restrict certain processing, request correction or erasure, obtain data portability where applicable, and lodge a complaint with the National Privacy Commission.

Privacy requests shall be sent through PFA’s official published contact channel and shall contain enough information to verify the request without exposing unnecessary sensitive data.

8. External links and service providers

This website may link to third-party sites or embed approved external services. Their privacy practices are governed by their own notices. Visitors shall review those notices before submitting information.

9. Updates to this notice

PFA may revise this notice when its website, forms, legal requirements, or processing activities change. The review date at the top shall be updated when material changes are approved.
